TLLM Updates: 2012 First Quarter RoundUp

It’s almost April which already brings us to the end of the first quarter! We may have taken a little hiatus from posting on our blog, but believe me we’ve been hard at work and haven’t forgotten about you!

Since the beginning of this year we’ve updated our main website, TargetLeads.com, our TLLeadManager info site and we’ve added a few new features to TL LeadManager.  The updated sites aren’t just to look fancy, but to also give you easier access to everything we have to offer.

As we move past the first quarter of the year we hope to continue to give you new features, opportunities, and updates to look forward to. There are quite a few projects in the works and we are looking forward to them coming to fruition in the coming months (you’ll have to stay tuned to see what they are). 

Many of our users give us fantastic suggestions for features and functions you’d like to see or “bugs” that need to be fixed and we appreciate each of these.  Often our best, and most used features, come from you since you use the system daily and count on it to help manage your business and leads.  So, without further ado, here is the roundup of the features and updates so far in 2012!

Lead Card Images: You can now print ALL of your lead card images at once. 

How to:  From within the search screen, find the leads with a scanned lead card image that you would like to print, click Select All , then click LC’s (Lead Cards).  This will bring up a new page with all of the images for you to quickly and easily print.  Within the new window, print like you would any other site.

Select Lead Card Size: On the lead card screen you can now view different sizes of your scanned images.  Choose the % from the dropdown or choose “Actual Size” (be forewarned, this can be quite large).  This will change the lead card image to your selected size.  When you move off of that lead and come back it will default back to the size that will fit to your screen. 

Letter Template: We have removed the Select Letter dropdown and replaced it with a simpler list to the left of the window. Now you can easily see which letter templates are the pre-formatted, uneditable templates and which are the templates you have created. Choose your letter by simply clicking on the template you want to view or print from the list on the left.

Mail Jobs Details: On the Stats page under Mail Jobs we have added your total number of sold leads and premiums for each job.  Now you have a more in depth report on each of your orders and your success, to determine exact ROI.  To get full use of this functionality it will depend on you updating statuses and adding basic policy information.

How to: Change the status to Sold/Placed and click the +/- button beside the drop down menu.  The policy window will open, click “Add Policy” and enter your basic policy information.  Include the Payment Mode and Modal Deposit to calculate annualized premium.  This will automatically update your number of policies and premiums within the Stats page.

Bug Fixes: Our system was built to work in Internet Explorer, but we know many users have other browsers and we are always trying to make our features available within all of them.  We have found a way for Safari, Chrome and Firefox to allow you to go directly to a specific lead by entering the number at the top right.  In the, now white, box at the top right simply click inside, enter the number and hit enter and you will be taken to that lead.  We have also adjusted our search screen so the buttons at the bottom are easier to see and adjusted margins within the print windows so the lead’s data does not overlap.

Why Choose Direct Mail?

In today’s business world there are numerous marketing options available to get the message out about you and your product, so why choose direct mail?

Simple: Because direct mail works and every lead response is 100% exclusive!  Each mailer is targeted to your specific market audience and reaches them at their convenience, without interrupting their dinner or workday.

Internet leads can only access the 45%* of seniors that have a computer with internet service. How are you marketing to the other 55%?

Tuesday Tips for TL LeadManager: Print Labels

December is here and so are the holidays.  Sending holiday cards to all of your clients should be quick and easy.  With TL LeadManager you can address all of your envelopes and cards in a few simple steps.  All you need is a little time, some basic mailing labels (Avery Template 5160) and our software.

Tip: Use TLLM to print clients’ and leads’ address labels for holiday cards.

Printing Labels

First click Search at the top left.  The search screen will open.

  • Search for the leads or clients you would like to send the cards to.  An easy way to find them is to search by categories you have added or by status (ex. Sold).
  • Then click the big search on the right.
  • All of your leads/clients will be listed.  Click Select All under the list, then click Print.
  • After you click Print your will see your print options to the left.  Click 5160.  This is a basic mailing label. 
  • A new window will open with your chosen leads/clients addresses formatted and ready to print.
  • Click the printer icon at the top left to print the labels.

Print Labels

  • You may want to test the alignment by printing just one page on a blank sheet.  If the alignment is off, you can adjust the margins by changing the label positions. 
  • Move the labels to the right, by changing the left position.  To move the labels down, edit the top position. 
  • Click Re-Run Labels twice.  This will refresh the labels.
  • Then click the printer icon.

That’s it!  You can then place the labels on the envelopes for all of your leads/clients and drop them in the mail.

Tuesday Tips for TL LeadManager: Lead List

We are now a month into AEP season and hopefully you have received many leads to contact.  As you are working your leads, you may want to view just their basic information to quickly contact them.  With TLLM you can view your leads in a list format and update their statuses, add notes or call back dates. 

Tip: Use the Lead List to view a list of your leads for making calls quickly.

  • Edit fields you view by clicking the double arrows on the top left
  • Selected fields are shown on the left and unselected fields are on the right.
  • To make changes click on the fields you want to view (or not view) and then click the arrow in the middle to move from one column to the other.
  • After you are finished making changes, click Save and Redisplay List.
  • The fields you select will then be displayed for each lead on the right.

Click the double arrows on the top left to remove the field selections and view your lead list

  • Quickly make your calls, update statuses, add must call dates or add general notes from the lead list.
  • Click SAVE on the left if you make changes.
  • Click VIEW on the left to go the lead’s detail screen for full features

At the bottom of the screen is the navigation for your lead list. 

From this navigation you can move through pages, go to the very last page or the first page, change the number of leads per page (default is 20) or view all leads. 

The lead list view can also be used after you have done a search (more info on our search screen).  From a search click select all, then view selected.  You will be taken to the lead detail screen, then click lead list and you will see only those you searched for in the list view.  By using the list view you can quickly work through your call backs, must calls or new leads.

Tuesday Tips for TL LeadManager: Search Screen (Dates)

Today we are going to conclude our Tuesday Tips on the Search Screen.  There are still areas of the search screen we have not covered, but we have included many tips and hopefully given you ideas on using this great feature.  Our last tip is to show you how to find your leads that were assigned (or re-assigned) within a specific time frame.  Often you may log in and click on your New Leads, then receive a phone call (or simply get distracted) and have to log out of the system.  After you log back in your new leads have been added to your database and may not be as easy to find.  You may have already guessed it, but yes, you can use the Search Screen to quickly locate and group these leads.

Tip: Find leads by their assigned (re-assigned) date and sort them by acquired date.

Searching by Dates

First click Search at the top left.  The search screen will open.

  • To the left, under Lead Info, you will see Assn Date: (Assign Date)
    • Re-Assn Date (Re-Assign Date) is for leads that have previously been assigned such as B Leads, Recycled Leads or Transferred Leads
  • Enter the first date you want to begin your search
    • To search for your New Leads assigned that day, enter today’s date
  • In the “to” field enter the end date or leave it blank to search for everything past the initial date including today
  • You can also sort your Search Results using the Order By:
    • Here we sorted by Acquired Date, but there are many options in the drop-down and can be used for all searches, not just date searches
  • Click the Search button on the right
  • Your results are listed below and you can quickly view, print, export, write letters or email them.

This search allows you to view your new leads, search for leads that have been assigned within the past 3 months and try to contact them before your 90 window expires or find leads that were assigned this year to calculate your end of the year numbers.  Whatever your reason this search will save you time!
